The traffic-light method.
Every policy we write sorts your data into three colors. Staff learn one rule per color.
RED: never goes into any AI tool
- Passwords, access credentials, API keys
- Social Security numbers and full financial account numbers
- Anything your policy marks as never shared outside your own systems
YELLOW: only in an approved enterprise tool under a signed agreement
- Client and customer files
- Patient, personnel or financial records
- Only inside a tool your organization approved, covered by a signed agreement such as a data-processing agreement, or a BAA for health data
GREEN: fine in any approved tool
- Public information and published material
- Marketing drafts and general business writing
- Internal templates and procedures with no client or personal data
These are common starting points. Which of your data falls in each color is decided for your organization, and your counsel should review the result.
